This position will report to the Director of University Events and Guest Services and will work closely with staff in the Department who work in events and continuing education.


Essential Duties:

Bastyr University is looking for a Guest Services Assistant to provide:

  • Administrative support to the Director and to the department
  • Assist prospective clients and in-house staff, students and faculty, with information about our services, conferences, meeting rooms and weddings.
  • Scheduling of space on campus for students, faculty, staff and external clients with the use of a database.
  • Assist conference groups prior to arrival with arrangements for overnight rooms, meeting rooms and catering.
  • Host conference groups and individuals during their stay or attending an event on campus.
  • Perform light bookkeeping duties which will include working within a database.
  • Assist in scheduling, arranging and providing facility tours.
  • Perform duties as requested with assisting with setup of special events on campus and off.
  • High School Diploma or GED required.
  • Minimum of three years general office procedure.
  • Previous experience working in a hotel or conference facility preferred.
  • Must have excellent customer service background as this department is customer service centric.
  • Proficient computer skills using MS Word, Access, Excel, with ability to produce documents, contracts and forms; experience with using databases and feeling comfortable with learning new ones.
  • Experience operating office equipment; fax, copier and voicemail, and email-Outlook.
  • Must be organized with the ability to manage several detailed tasks concurrently and possess ease and proficiency in customer service and problem solving.
  • Ability to work with large, diverse staff and student population in addition to outside clients.
  • Ability to work and maintain an appearance calm in periods of extreme business.
  • Most work well as a team member and also independently as well.

Schedule: Thursday through Monday (Tuesday and Wednesday off) 8am-5pm, but also needs to be flexible.

Salary: $19.00 - $21.50 Comprehensive Benefits Package
