Bastyr University’s Office of the Registrar, located at the Kenmore campus, has a unique opportunity for a dedicated, motivated, detailed oriented, student focused professional.    

We are looking for an Administrative Assistant to provide administrative support the first few months while the selected candidate trains to become an academic advisor/evaluator. The position starts at 30 hours/week transitioning to full time hours.  

 Academic advising is a collaborative relationship between a student and an academic advisor. The intent of this partnership is to advise and collaborate with students in completing their programs on time. Excellent people skills are critical in this position.

Administrative Assistance primary duties and responsibilities (initial position)

  • Administrative tasks
  • Serve as back up for various tasks
  • Student records and data management
  • Course registration and course changes
  • Data gathering, report referencing, analysis and feedback
  • Other related duties as assigned.

Academic Advisor/Evaluator primary duties and responsibilities (transitioning position)

  • Advise graduate and professional level students regarding their academic progress and university policies.
  • Evaluate students’ academic coursework to determine eligibility to take licensing exams, and graduate.
  • Evaluate transfer coursework for Advanced Standing applicants.
  • Coordinate the evaluation of transfer/waiver credits.
  • Must work closely with academic deans to monitor students who are on specialized academic plans.
  • Register students for academic coursework.
  • Other related duties as assigned.

Supervision – Works under the general supervision of the University Registrar.

Attendance– Individuals in this position are expected to be available during the normal business hours of the university.

Working Conditions – Conditions are those of a typical office environment, requiring frequent oral communication with students and colleagues, the ability to enter data and written communications in electronic format in a timely manner, and sufficient mobility to be present and address students and fellow professionals at appropriate university functions.


Minimum Qualifications

  • Bachelor’s degree required.
  • Two to four years’ experience in academic advising or related careers in post-secondary education or a combination of education and experience commensurate with the requirements of the position.
  • Ability to use computer-based systems, network software, and data management systems as well as standard Office apps.
  • Demonstrated tactful interpersonal verbal and written communication skills.
  • Ability to process and maintain highly confidential information.
  • Ability to process a high volume of work with excellent organizational/tracking skills.
  • Ability to analyze and solve problems.
  • Ability to work effectively with individuals of varying backgrounds, abilities, outlooks, ages, and nationalities.
  • Comply with all company policies and procedures including regular attendance
