Duties

Bastyr University is seeking an experienced and dedicated Dispensary Assistant II.

Compensation$19.0 - $20.0/hr. , DOE

Work Schedule: 38 hours per week, Monday - Friday, 8am -5:30pm

ESSENTIAL FUNCTIONS

Finance

  1. Daily Deposits---Close out registers at night, prepare daily bank deposits, create next day bank for registers, obtain and maintain adequate change in reserve bank, and secure all valuables in safe upon closing. 
  2. Invoice Verification & Entry---Gather invoices and receipts for all purchases and transfers of goods at the Dispensary and enter into Microix for Dispensary Manager approval as a backup to the Dispensary Coordinator.

Inventory

  1. Ordering---Oversee and complete weekly ordering of Dispensary retail and prescription inventory as coordinated with Dispensary Manager and Product Review Committee, and with input from Clinic faculty and clinicians. 
  2. Receiving---Complete processing of incoming dispensary inventory:   unpacking shipments, assessing price changes from invoices, and pricing correctly.

Physical Operations

  1. Computer---Maintain and update Dispensary database, including product inventory, physician information and patient records. 
  2. Display---Oversee and Maintain physical Dispensary space: tastefully display and rotate stock, update with new products, discuss discontinuing non-moving products and other items of public interest with Dispensary Manager.

 Staff

  1.  Communication---Facilitate communication between Dispensary Manager, Dispensary Assistants, work study students, student clinicians, academic faculty and department managers on occasion.  Assist in retraining current staff in new procedures and policies.  Be a member of Formulary Committee. 
  2.  Subordinates---Must be able to fulfill any/all duties of Dispensary Assistants I.

 

OTHER RESPONSIBILITIES 

1.       Respond to customer complaints and refer difficult requests to Dispensary Manager.

2.      Collaborate with the Formulary Review Committee in establishing and adhering to institutional standards of quality assurance as applied to products sold by the Clinic Dispensary.

 

Qualifications

Knowledge

  1. Familiarity with Latin or with Latin binomials for medicinal botanicals.
  2. Demonstrable extensive knowledge of medicinal botanicals and nutritional medicine products.
  3. General knowledge of physiology.
  4. Familiarity with basic bookkeeping and accounting terms and procedures.
  5. Must have strong communication and customer service skills.
  6. Working knowledge of Dispensary computer systems and awareness of budgetary considerations.
  7. Proficient knowledge of Dispensary Operations.

Skills and Abilities   

  1. Ability to work with cash register and bankcard machines for daily sales transactions and reports.
  2. Ability to accurately interpret medical language for patient understanding regarding prescription labeling.
  3. Accurate mathematical ability for daily sales records and deposits.
  4. Professional phone skills with customers, vendors, and physicians.
  5. Ability to maintain efficiency and diplomacy and attentiveness to detail within busy, hectic environment.
  6. Ability to direct students to find resources necessary to complete their educational training.
  7. Facility with Dispensary computer system: Office365, Outlook, Word, Excel, Skype for Business, Access, EPIC, Microix, DigitalPOS, etc

Experience

Two to three years of experience in fast-paced environment (retail or service business).  This experience should include customer service and sales, cash handling, inventory, ordering, and working closely with other employees.

Education

  • Bachelor’s Degree or equivalent.
  • Some course-work in anatomy, physiology, first aid, and study of herbs.
