Process Prescription Orders---Locate products, formulate teas and tinctures, mix creams, type labels, explain prescription labels, update patients’ dispensary records, and answer basic product questions from patients, doctors and student clinicians.
Special Orders---Locate accurate retail price for patient via catalogue or phone; estimate time of arrival for product to patient; process special orders upon arrival including Insurance Reimbursement, Financial Receipts and mail-out product; and explain special order procedures for patients, student clinicians, and physicians. Communication
Doctors & Students---Provide product and patient information to doctors and students in person and by phone: Maintain and file dispensary records, retrieve and return phone messages, request updated information from doctors on behalf of patients.
Patients & Customers---Assist patients and customers in locating requested OTC (over-the-counter) products.
Public---Guide customer queries regarding health concerns to our ND Clinic: Limit product and health information given to public in accordance with Bastyr Policy. Finance
Sales---Handle financial transactions necessary for the sale of dispensary goods, both retail and prescription: Operate cash register and bankcard machines, Provide accurate refunds when appropriate and approved by supervising manager or lead, and Extend Employee discount when applicable.
Insurance/Tax Receipt---Generate Insurance Reimbursement Paperwork for Patient Submission: Ensure correct product and price are recorded on form, sign and date.
Mail Orders---Prepare, process and package requested items for Mail Order: Include Insurance Reimbursement and Financial receipts, package mail orders to prevent any breakage, use mail meter accurately for correct date and charge.
Off-Site Clinic Orders---Order and gather requested products for Off-Site Clinics. Notify Dispensary Manager when products have arrived. Enter Off-Site Clinic orders into Microix for interdepartmental transfers.
Daily Deposits---Close out registers at night, prepare daily bank deposits, create day bank for registers, submit completed deposits to bookkeeping office, obtain and maintain adequate change in reserve bank, and secure all valuables in night safe.
Invoice Verification & Entry---Gather invoices and receipts for all purchases of goods at the Dispensary and enter into Microix for Dispensary Manager approval. Inventory
Ordering---Complete weekly ordering of Dispensary retail and/or prescription inventory as coordinated with Dispensary Manager, and with input from Clinic faculty and clinicians.
Receiving---Complete processing of incoming dispensary inventory: unpacking shipments, assessing price changes from invoices, entering new items into inventory and pricing correctly.
Merchandising---Arrange and maintain an organized & merchandized retail/prescription space as well as neatly kept prescription goods section.
Respond to customer complaints and refer difficult requests to Dispensary Manager.
Collaborate with the Formulary Review Committee in establishing and adhering to institutional standards of quality assurance as applied to products sold by the Clinic Dispensary.
Oversee Bastyr work study students and Dispensary staff while in Dispensary.
Experience working with herbal and nutritional supplements and in the wellness field. Cash handling, customer service, and product ordering experience required. Bachelor’s degree or equivalent plus three years of retail sales, preferably in a lead or supervisory role.
Familiarity with Latin or with Latin binomials for medicinal botanicals.
Demonstrable extensive knowledge of medicinal botanicals and nutritional medicine products. Familiarity with medical terminology and general knowledge of physiology very helpful. Familiarity with basic bookkeeping and accounting terms and procedures.
Working knowledge of computer systems and awareness of budgetary considerations.
Must be proficient in Office365, know how to type and use a computer keyboard.
Proficient knowledge of Dispensary Operations.
SKILLS AND ABILITIES:
Ability to work with cash register and bankcard machines for daily sales transactions and reports. Ability to accurately interpret medical language for patient understanding regarding prescription labeling.
Accurate mathematical ability for daily sales records and deposits.
Must have strong communication and customer service skills.
Professional phone skills with customers, vendors, and physicians.
Ability to communicate well with variety of clientele---students, doctors, patients and customers seeking information.
Ability to maintain efficiency, diplomacy and attentiveness to detail within a busy work environment.
Ability to direct students to find resources necessary to complete their educational training. Ability to prioritize demands as they arrive and tactfully convey time constraints to waiting staff and customers.
Ability to handle heavy phones and frequent customer requests.
Facility with Dispensary computer system: Office365, Outlook, Word, Excel, Skype for Business, Access, EPIC, Microix, DigitalPOS, etc.
Must have interest in the health field and willingness to work in a learning environment as part of the teaching clinic.
Three to five years of retail sales, inventory management and customer service experience, preferable in a lead or supervisory role.
Previous work in the health field or natural products industry preferred.
Bachelor’s degree or equivalent.
Some coursework in anatomy, physiology, first aid, and study of herbs.
