We are seeking a friendly, team oriented and hardworking individual as the first line of contact in our medical clinic front office. Duties include but are not limited to scheduling appointments, verifying patient demographics, check-in, check-out, answering phones, medical records keeping, referral authorizations, and collecting co-pays and amounts due at appointments.


  1. Answer phones and monitor clinic texting line, ascertain patients’ needs, and triage emergency calls/texts appropriately. Check and respond to patient emails. Facilitate communications between practitioners and their patients.
  2. Cashier all patient transactions including Epic payments, dispensary sales through Square, and all other visit charges. Balance transactions at the end of the workday, reconciling discrepancies and making appropriate changes to the posting records batch reports in Epic.
  3. Process all incoming paperwork (new patient paperwork, income-based adjustment application, release of information requests, etc) and verify accuracy and completeness, obtaining all legally-required informed consent if needed.
  4. Complete Daily Cash Reconciliation and Batch Reports and send to Finance department daily, after deposit has been made, noting any discrepancies and/or pertinent information regarding transactions
  5. Assist with Medical Record keeping of patients. This may include scanning documents into patients’ charts in Epic, fulfilling medical records requests, including subpoenas.
  6. Monitor our fax portal (OnBase/RightFax) and triage as necessary. Ensure all prescription refill requests are sent to the appropriate providers.
  7. Process any internal and/or external referrals as needed between providers.


  1. Must be able to professionally serve a diverse population both on the phone and in the waiting room.
  2. Train new hires as needed.
  3. Other duties as assigned by the Clinic Operations Supervisor.


Candidates must have previously worked in a setting where excellent customer service is a priority. Needs to be reliable, self-motivated, enjoy working with people, handle stressful situations in a professional manner, and be detail oriented and punctual. This person must be able to multi-task and work under time pressure in a busy clinic environment. Familiarity with Natural Medicine is preferred.

  1. Must have basic customer service skills with a heavy emphasis on appropriate phone etiquette.
  2. High School Diploma or equivalent experience required; College or post high school training desired
  3. Must be able to communicate professionally with a variety of different people in person, in writing, and on the phone.
  4. Must possess familiarity with computers, with basic skills in Microsoft Office databases (Word, Excel, Outlook).
  5. Must have a minimum of 1 year of experience in the PSR 1 position (or equivalent) having worked at least 20 hours per week.


  1. Possess exceptional customer service skills and be able to prioritize needs quickly as well as multi-task. Must possess the ability to remain organized and focused.
  2. Knowledge of the basic philosophies of Natural Medicine.
  3. Phone skills must include the ability to maintain great patience and professionalism with a variety of callers.
  4. Familiarity with Epic (or other Electronic Medical/Health Records system).
  5. Must have ability to function as part of a team.​​​​​​
