Duties

Bastyr University is seeking an experienced and dedicated Patient Services Representative I.

ESSENTIAL RESPONSIBILITIES

  1. Respond to all inquiries regarding the clinic and provide general information about the modalities offered as well as general information about the principals of natural medicine.  Provide appropriate referrals to other areas of the clinic, University or other facilities.
  2. Schedule Naturopathic, Physical Medicine, Counseling, Homeopathy, and Private Practice appointments with doctors and clinicians.  Inform practitioners of updates to the schedule. Make changes to the schedule as necessary and reassign when there are subs.
  3. Acquire a thorough level of knowledge & information regarding specialty programs offered at the clinic, and distribute such information to callers as necessary.
  4. Answer phones, ascertain caller needs, and triage emergency calls appropriately.  Check and respond to patient emails. Facilitate communications between practitioners and their patients.
  5. Monitor clinic texting line to communicate with patients regarding their appointments.
  6. Understand and distribute information about Insurance billing, co-pays, and policy coverage.
  7. Cashier all patient transactions including Epic payments, dispensary sales through Square, and all other visit charges.
  8. Assist with Medical Record keeping of patients.  This may include scanning documents into patients’ charts in Epic, fulfilling medical records requests, including subpoenas.
  9. Monitor our fax portal (OnBase/RightFax) and triage as necessary.  Ensure all prescription refill requests are sent to the appropriate providers.
  10. Balance transactions at the end of the workday, reconciling discrepancies and making appropriate changes to the posting records batch reports in Epic.  Ensure all cash and/or check deposits are brought to the bank. 
  11. Verify patient discount and insurance status for applicable patients in Epic. Make necessary changes to system regarding patient demographic, insurance, or discount information as well as special needs of patients.
  12. Verify accuracy and completeness of demographic forms as well as legally required informed consent or observation/recording consent forms.  Obtain patient insurance information and acquiring proof of that information.
  13. Assure confidentiality of all patient records or information according to HIPAA standards.  Follow disposal guidelines for confidential patient information.
  14. Process all applications for Income Based Adjustments.  Verify that applications are complete with secondary source documentation provided.  Determine eligibility for Income Based Adjustments and enter information in Epic.
  15. Refer contacts to appropriate in-house personnel when applicable.
  16. Process any internal and/or external referrals as needed between providers.
  17. Assist in training of new staff as needed. 

OTHER RESPONSIBILITIES:

  • Must be able to professionally serve a diverse population both on the phone and in the waiting room, handling any upset patients, complaints and inappropriate behaviors.
  • Other duties as assigned by the Clinic Operations Supervisor.
Qualifications: 

BASIC QUALIFICATIONS

  • Must know basic customer service skills with emphasis on polite and respectful communication
  • Knowledge of the basic philosophies of Natural Medicine
  • Must understand the concept of confidentiality and HIPAA privacy guidelines
  • Must be able to remain in a stationary position for an extended period of time, with ability to occasionally move about the clinic to access other office machinery or
  • Be able to work individually and function as part of a team
  • Must possess familiarity with computers, with basic skills in Microsoft Office databases (Word, Excel, Outlook); must also be able to work on a computer for the majority of the workday
  • Must feel comfortable speaking on the phone
  • Phone skills must include the ability to maintain great patience and professionalism with a variety of callers
  • Exceptional customer service skills, maintain a high level of organization and the ability to prioritize needs quickly as well as multi-task
  • High school diploma required

 

PREFERRED QUALIFICATIONS

  • Familiarity with Epic (or other electronic health records system), particularly the ability to access patient demographic information, and make changes when necessary, as well as navigation, templating and scheduling. 
  • Familiarity with standard medical and natural medicine terminologies.
  • Excellent written and verbal communication skills
  • Ability to produce high quality work results that are accurate and error-free
  • Employment is contingent upon passing a criminal background check.
