Duties

Bastyr University is seeking an experienced and dedicated Admissions Coordinator.

POSITION SUMMARY 

An Admissions Coordinator is responsible for processing all pre-admission activities of multiple programs in a fast-paced environment, inputting and updating all prospect and student data throughout the recruitment cycle under the supervision of the Director of Admissions Operations. They are responsible for preparing application files for program advisor to review and will collaborate with corresponding departments or students as needed.  

ESSENTIAL RESPONSIBILITIES 

  • Coordinate the application and document submission of prospective students 
  • Prepare applicant files for review by the corresponding advisor 
  • Process incoming transcripts and other application documentation 
  • Maintain complex Customer Relationship Management (CRM) and Student Information Systems (SIS) database systems of applicant records 
  • Collaborate with other departments as needed for data accuracy 
  • Produce reports for recruitment and retention purposes 
  • Communicate with a variety of internal and external stakeholders 
  • Respond to applicant issues within a timely manner 
     

OTHER RESPONSIBILITIES: 

  • Support Student Services and Reception as needed 
  • Answer incoming calls to the Admissions and Student Services department 
  • Schedule advising appointments for any department served; Registrar, Financial Aid, or Admissions 
  • Transfer calls to alternate individual 
  • Participate in on campus recruiting events  
  • Committee work pertinent to admissions team 
  • Other tasks/responsibilities as assigned 
Qualifications: 

BASIC QUALIFICATIONS 

  • A minimum of 3 years of experience in a fast-paced office setting, preferably in an academic/institution; front office, reception, or customer service 
  • Must be able to remain in stationary position and move about in the office space or building 

PREFERRED QUALIFICATIONS  

  • Associates degree or higher  
  • Experience in records/data management and use of CRM and SIS platforms such as Salesforce, PeopleSoft, HubSpot, CAMS Enterprise, etc. 
  • Success in delivering high quality customer service 
  • Proficiency in Microsoft Office 365 (I.e., Word, Excel, SharePoint, Forms, etc.) 
  • Knowledge of CRM/SIS best practices within higher education 
  • Knowledge of how diversity, equity and inclusion play a role in the admissions process 
  • Highly organized, detail oriented, able to multi-task, and meet deadlines. 
  • Ability to produce high quality work results that are accurate and error-free
