The purpose of this position is to provide a high-level of administrative support to the President and liaison to the Board of Trustees. Facilitate internal/external communications, serve as a communications liaison between the Office of the President and the University internal and external community. Provide expertise in administrative support through conducting research, preparing statistical reports, handling information requests, preparing professional written correspondence, and weekly updates from the President to the community and Board of Trustees and constituents. Preparing information for multiple accreditation bodies, receiving visitors, arranging Skype meetings, and global conference calls, and be a master of calendaring.

  • Serve as a cordial, gracious representative of the University when interacting with both internal and external constituencies.
  • Must exercise good judgment and discernment in handling confidential and sensitive information.
  • Excellent writing skills to write effectively on behalf the President, create and maintain smooth communications flow via professional correspondence, e-mail, telephone and in person. Liaison with all members of the University community. Act as knowledgeable Bastyr representative to contacts in related organizations, Board members and the public on the telephone and in person.
  • Manage accurately, effectively and efficiently the appointment calendar of the President.
  • Work with the President on special projects, including preparation of presentations, research data collection and report writing.
  • Advise the President of important documents or information, prepare and distribute meeting materials, track current or pending issues with the President’s cabinet and executive leadership team. Prior to meetings determine if the subject matter requires researching information and pro-actively produce information on such initiatives.
  • Gather information and data, analyze this information and determine appropriate courses of action.
  • Prepare statistical reports.
  • Serve as scribe at meetings, solicit agenda materials, prepare and distributing agendas, transcribe minutes, reserve rooms, arrange catering, facilitate and communicate meeting logistics and other information electronically.
  • Handle the office budgeting process, prepare analyses of budgets as needed throughout the fiscal year and handle the fiscal year budget 12-month spread. Track, code, record and submit all department expenditures and invoices to finance for payment in a timely manner meeting deadlines.
  • Order standard office supplies and furniture within budgetary guidelines.
  • Arrange in and out-of-state business travel and process all related expense reports.
  • Assist in University events, meetings, and employee team building activities and special projects.
  • Comply with all company policies and procedures including regular attendance.



  • Provide high-level administrative support to the Board of Trustees.
  • Create and maintain smooth communication flow via correspondence, email, telephone and in-person between the Board of Trustees members and/or major constituents of the University.
  • Work on special projects, including preparation of presentations, research, data collection, and report writing.
  • Serve as scribe and administrative support to the Board of Trustees and its various subcommittees during meetings.
  • Prepare Board meeting agendas and accompanying documents.
  • Handle all aspects of the Board Chair’s communications.

Minimum requirements:

  • A Master’s degree or equivalent experience
  • Five (5) years of experience in a diversity, equity, and inclusion role or relevant experience.
  • Highly skilled written and oral communications including the ability to provide presentations, successful trainings and written communications.
  • Demonstrated success in developing and facilitating educational and training programs for diverse populations.
  • Program development.
